Insightly Alternatives: 10 CRMs Compared for 2026
Insightly Alternatives: 10 Options Compared for 2026
Short answer: Zoho CRM is the cheapest like-for-like swap ($14-$52/user/month billed annually, free for 3 users). Pipedrive is the pick if your reps just want a clean pipeline. HubSpot makes sense when marketing and sales need one database. Capsule keeps Insightly's "contacts plus projects" shape at a lower price. And if you'd rather own the software, SuiteCRM and Twenty are free to self-host.
Here's Insightly's own math, from its pricing page. There's no free plan anymore, only a 14-day trial. Plus is $29/user/month, Professional is $49 and Enterprise is $99, all billed annually. Ten reps on Professional cost $5,880 a year. Marketing automation is a separate product that starts at $99/month and goes through sales, and the All-in-One bundle lists a $1,500 guided onboarding fee on every tier.
None of that is outrageous. But it adds up for a tool that a lot of small teams picked because it looked simple. The usual reasons people go looking: reporting that needs workarounds, automation locked behind Professional, and the feeling that they're paying mid-market prices for a small-business CRM. Ten alternatives below, from hosted to fully self-hosted.
If you're comparing more widely, we've also written up Pipedrive alternatives, HubSpot alternatives, Salesforce alternatives and Zoho CRM alternatives.

What Insightly Actually Does Well
Credit where it's due. Insightly's best trick is linking sales to delivery: a won opportunity can turn into a project, so the team that closes the deal and the team that ships the work look at the same record. Few CRMs at this price do that natively. Relationship linking between contacts, organizations and opportunities is genuinely useful for account-heavy B2B sales. And it sells a marketing tool, a service desk and an integration product (AppConnect) on the same data, so you can grow into a suite without migrating.
If you use the project side every week, think hard before leaving. Most alternatives below will need a second tool for that.
When to Leave Insightly
Three signals:
- You're paying for Professional just to get automation. At $49/user/month, Pipedrive Premium, Zoho Enterprise and Freshsales Pro all cost the same or less with more automation included.
- Marketing became a second invoice. Insightly Marketing starts at $99/month and is sold through sales. HubSpot, Zoho and Freshworks sell marketing next to the CRM with public prices.
- You never touch the project features. Then you're paying for Insightly's main differentiator and getting none of it.
1. Zoho CRM
The closest swap on features, and usually cheaper.
Strengths:
- Free edition for up to 3 users, with no time limit
- Workflows, scoring and forecasting at tiers below Insightly's price
- Big suite next to it (Desk, Campaigns, Books, Projects) if you want Insightly's breadth
- Deep customization once you've got someone to own it
Weaknesses:
- Busy interface; reps tend to need training
- Setup takes real time, and nobody does it for you
- Support quality depends on your plan
Pricing: Free for 3 users. Standard $14, Professional $23, Enterprise $40, Ultimate $52 per user/month billed annually ($20, $35, $50, $65 billed monthly).
Best for: Cost-conscious teams that want Insightly's feature depth and will put in the setup. If Zoho's UI is what scares you, our Zoho CRM alternatives guide covers the other direction.
2. Pipedrive
The easiest switch for a sales-only team.
Strengths:
- The cleanest deal pipeline in the category; reps learn it fast
- Email sync and automations from Growth up
- 500+ integrations and a mobile app people actually use
- Add-ons for projects and campaigns if you need them later
Weaknesses:
- No free plan (14-day trial)
- Projects, campaigns and lead capture are paid add-ons
- Account and relationship views are thinner than Insightly's
Pricing: Lite $14, Growth $24, Premium $49, Ultimate $69 per seat/month billed annually.
Best for: Teams that only used Insightly for opportunities. More options in our Pipedrive alternatives guide.
3. HubSpot
The move when marketing is half the problem.
Strengths:
- Free CRM for up to 2 users
- Sales, marketing and service share one database
- Easy for reps to pick up without training
- Huge integration marketplace
Weaknesses:
- Sales Hub Professional is $90/seat/month plus a one-time $1,500 onboarding fee
- Marketing Hub Professional starts at $800/month billed annually, with a $3,000 onboarding fee
- Costs climb fast once you need the Pro tiers
Pricing: Free for 2 users. Sales Hub Starter is $20/seat/month billed monthly (the page currently shows $7 on an annual commitment). Professional $90/seat/month billed annually, Enterprise $150 plus a $3,500 onboarding fee.
Best for: Teams that bought Insightly Marketing or wanted to. See our HubSpot alternatives guide for the other side of that trade.
4. Salesforce Starter
The pick if you know you'll outgrow everything else.
Strengths:
- Starter Suite bundles sales, service and email marketing basics
- Same $25 price on monthly or annual billing
- The upgrade path goes as far as any company needs
- AppExchange covers almost any gap
Weaknesses:
- Pro Suite jumps to $100/user/month billed annually
- Real customization usually needs an admin or a consultant
- More overhead than Insightly, not less
Pricing: Starter Suite $25/user/month, Pro Suite $100/user/month billed annually. Full Sales Cloud editions start at $195 (Core).
Best for: Funded teams planning to scale well past 50 reps. Insightly even runs a comparison page against it, which tells you who it sees as the real competitor. Our Salesforce alternatives guide covers the trade-offs.
5. monday CRM
The visual option, and the closest thing to Insightly's sales-plus-delivery idea.
Strengths:
- Board-based UI that other departments already understand
- Easy to customize without an admin
- Sales and post-sale onboarding can live in one workspace
- Cheap entry price
Weaknesses:
- 3-seat minimum on every plan
- Forecasting and sales sequences sit in higher tiers
- Can drift into a project tool with a CRM bolted on
Pricing: Basic $12, Standard $17, Pro $28 per seat/month billed annually ($18, $25, $41 monthly). Minimum 3 seats. 14-day trial.
Best for: Small teams that used Insightly's projects and want sales and delivery on the same boards.
6. Freshsales
A friendlier like-for-like swap with phone built in.
Strengths:
- Phone, email and chat inside the product
- Freddy AI for scoring and deal insights
- $9 entry tier undercuts everyone here except the free plans
- Pairs with Freshdesk if support already runs on Freshworks
Weaknesses:
- No free plan, only a 21-day trial
- Reporting is lighter than Zoho or Salesforce
- No native project management
Pricing: Growth $9, Pro $39, Enterprise $59 per user/month billed annually.
Best for: Small and mid-size sales teams that call a lot and want less admin than Insightly.
7. Capsule
The simple CRM that kept a projects board.
Strengths:
- Contacts, sales pipelines and project boards in one tool
- Free plan for 2 users and 250 contacts
- Clean, quiet interface with little to configure
- Direct integrations with Xero and Zendesk from Starter
Weaknesses:
- Workflow automations start on Growth ($36)
- Not built for big sales teams with territories and quotas
- Marketing is a paid add-on
Pricing: Free (2 users, 250 contacts). Starter $18, Growth $36, Advanced $54, Ultimate $72 per user/month billed annually. 14-day trial.
Best for: Small service businesses that liked Insightly's opportunity-to-project flow and want it cheaper and lighter.
8. Bitrix24
Flat pricing for the whole company.
Strengths:
- Priced per organization: Basic covers 5 users, Standard covers 50
- CRM, tasks, projects, chat and video calls in one workspace
- Free plan to start
- Gets cheaper per head the bigger your team
Weaknesses:
- Crowded interface with a lot going on
- The CRM is one module among many, so it's less focused
- Takes time to switch off what you don't need
Pricing: Free. Basic $49/month (5 users), Standard $99/month (50 users), Professional $199/month (100 users), all billed annually ($69, $144, $289 monthly). Enterprise starts at $399/month for 250 users.
Best for: Growing teams where per-seat pricing is the real complaint, and who want projects and chat thrown in.
9. SuiteCRM
The open-source traditional CRM.
Strengths:
- Fully open source, free to download and self-host
- Classic CRM modules: accounts, contacts, opportunities, cases, campaigns
- No per-user fees when you run it yourself
- Paid hosting, support and implementation available from the vendor
Weaknesses:
- The UI feels older than everything else here
- You own upgrades, backups and security
- Hosted and support pricing is quote-only
Pricing: Free to self-host. Hosting and support are quote only.
Best for: Teams with a developer or IT person who want Insightly-style CRM without a subscription.
10. Twenty
The open-source CRM with a modern UI.
Strengths:
- Free to self-host the open-source core
- Modern stack and an interface closer to Linear than to legacy CRM
- Custom objects and workflows
- Cheap cloud option if you'd rather not run servers
Weaknesses:
- Younger feature set; no project module
- Far fewer integrations
- Self-hosting means you own uptime
Pricing: Self-hosted free. Cloud Pro $9/user/month (billed yearly), Organization $19/user/month.
Best for: Developer-led teams that want CRM data on their own infrastructure.
11. Build Your Own CRM with the CRM Dashboard Kit
Some teams leave Insightly because they want the CRM inside their own product: a client portal, a vertical CRM for one industry, or a pipeline that matches a process no off-the-shelf tool fits. Renting seats won't get you that. If you're weighing that route, our custom CRM development guide walks through the build-or-buy call.
Two ways to start:
- The CRM Dashboard Kit is frontend only: 42 screens covering the sales dashboard, Kanban pipeline, contacts, companies, deals with forecasting, tasks, reports, an email inbox with sequences, and settings. You bring the backend. $165 solo. Live demo.
- The Full-Stack CRM Kit adds the backend: 45 routes on Supabase with a 19-table database using row-level security, Supabase Auth (email, Google and GitHub) and Server Actions for every change. $332 solo. Live demo.
Neither includes project management, so if that's the Insightly feature you rely on, you'd build it or pair it with a project tool.

Frequently Asked Questions
Does Insightly have a free plan?
Not anymore. Its pricing page offers a 14-day free trial with no credit card, and paid plans start at $29/user/month billed annually. If you need free, Zoho CRM (3 users), HubSpot (2 users), Capsule (2 users) and Bitrix24 all have free plans, and SuiteCRM and Twenty are free to self-host.
What's the cheapest Insightly alternative?
For a hosted CRM with a paid plan, Freshsales Growth at $9/user/month billed annually, or Twenty's cloud at the same price. For a whole team, Bitrix24 Basic is $49/month flat for 5 users. Zoho's free edition costs nothing for 3 users.
Which alternative keeps Insightly's project management?
monday CRM, Capsule and Bitrix24 all have project boards next to the CRM. Pipedrive sells a Projects add-on. HubSpot, Freshsales and Twenty would need a separate project tool.
Is Insightly better than Salesforce for small teams?
For most teams under 20 people, Insightly is simpler to run. Salesforce Starter is cheaper at $25/user/month, but every step up (Pro Suite is $100) brings more setup and more admin work. Pick Salesforce if you're sure you'll need its depth later.
How do I migrate off Insightly?
Export contacts, organizations, opportunities and projects to CSV, then use your new CRM's importer. Zoho, HubSpot, Pipedrive and Capsule all have one. Workflows and custom field logic don't transfer, so list the automations you actually use before you switch. Keep Insightly read-only for a few weeks so you still have history. If you'd rather hand the migration and the integrations to someone, our CRM integration services cover that.
The Honest Take
Insightly is a solid CRM with one standout feature, the link between sales and projects. If you use that every day, most of this list is a step sideways. If you don't, you're paying for it anyway.
Pick by what's broken. Zoho gives you the same depth for less, Pipedrive fixes adoption, HubSpot puts marketing next to sales, Capsule and monday keep a projects view, Bitrix24 kills per-seat pricing, and SuiteCRM or Twenty let you own the whole thing. And if the CRM needs to live inside your own product, build the frontend and keep the data where it already is.
Want it shipped without hiring a developer?
The build path above assumes you have engineers. If you don't, the team behind thefrontkit does done-for-you launches: we deploy the kit, apply your branding, and wire it to your stack. Fixed quotes, most builds ship in 2-4 weeks, from $1999.
